1. Introduction
ALTCOM, Unipessoal Lda, legal person no. 516781707, with registered office at Avenida 25 de Abril, 43A, 3860-352 Estarreja, Portugal (“ALTCOM”), is the controller of your personal data. This Privacy and Cookie Policy describes how we collect, use, share and protect your data, in compliance with Regulation (EU) 2016/679 – General Data Protection Regulation (GDPR), Portuguese Law No. 58/2019 of 8 August, which ensures the implementation of the GDPR in Portugal, and Portuguese Law No. 41/2004 of 18 August, on privacy in electronic communications (including the use of cookies).
This policy applies to the following ALTCOM websites and services: the altcom.pt website (www.altcom.pt), the system status page status.altcom.pt (section 12), the Help Centre help.altcom.pt (section 13) and the Client Area at cliente.altcom.pt (section 11). It also applies to our clients’ websites that are hosted and/or managed by ALTCOM, only to the extent that ALTCOM acts as controller; where we act on behalf of our clients, section 2 applies.
This policy is provided for information purposes. Browsing our websites does not amount to consent: whenever processing depends on your consent, it is requested separately, in a free, specific, informed and unambiguous manner, and may be withdrawn at any time, as easily as it was given.
Data protection officer: ALTCOM has not designated a data protection officer (DPO), as it is not required to do so under Article 37 GDPR. For any question about the processing of your data, please contact us at geral@altcom.pt.
2. Our Role in Data Processing
ALTCOM may act in two ways in the processing of personal data, depending on the context:
- Controller: We act as controller when we determine the purposes and means of the processing of personal data. This is the case for data collected through our own websites, the status page, the Help Centre and the Client Area (for example, contact forms, subscription to the newsletter or to status alerts, and account registration).
- Processor: We act as processor when we process personal data on behalf of our clients. This applies to the websites we develop and/or host for our clients. In these cases, our client is the controller, and we process the data in accordance with the client’s instructions and the terms of the service agreement (Article 28 GDPR). The data subjects concerned should contact the relevant client in the first instance.
3. Data We Collect and Purpose of Processing
We collect personal data for the following purposes, each with its legal basis under Article 6 GDPR. We do not request or intend to process special categories of data (for example, health data, racial or ethnic origin, religious or political beliefs — Article 9 GDPR); please do not include them in the messages, support requests or files you send us.
- Contact and Quote Requests
- Data Collected: Name, company, mobile phone, e-mail, message and the option “I want to be contacted”, filled in on the contact form (mobile phone and e-mail are mandatory; without them we cannot respond to the request).
- Purpose: To respond to contact requests, quote requests and requests for information about our services. The request is stored on our website and sent by e-mail to ALTCOM’s mailbox.
- Legal Basis: Pre-contractual steps taken at your request and, if you enter into a contract with us, the performance of that contract (Article 6(1)(b) GDPR). Where the request is not aimed at entering into a contract, our legitimate interest in responding to the messages you send us (point (f)).
- Retention: If no contract is concluded, requests are kept for up to 24 months after the last contact and then deleted, on the website and in the mailbox. If a contractual relationship is established, the periods indicated for clients apply (section 11).
- Newsletter and Marketing Communications
- Data Collected: E-mail, entered in the newsletter subscription form, and a record of the date and manner in which you gave your consent.
- Purpose: To send newsletters and information about ALTCOM’s new services, campaigns and promotions.
- Legal Basis: Your consent (Article 6(1)(a) GDPR and Article 13-A of Portuguese Law No. 41/2004), given separately and optionally, through a dedicated checkbox that is not pre-ticked. You may withdraw your consent at any time, free of charge, through the “unsubscribe” link included in each mailing or by e-mail to geral@altcom.pt. Objecting or withdrawing consent does not affect any other service.
- Provider: The newsletter is sent through the Brevo platform (Sendinblue SAS, France), which processes the data on our behalf, on servers in the European Union.
- Retention: Until you withdraw your consent. In addition, addresses that do not open or click on any communication for 24 months are removed from the list. After withdrawal, we keep only the address on a suppression list, to ensure that we do not send you communications again, and the record of consent for the period needed to demonstrate that it was given (up to 3 years).
- Website Usage Statistics (WP Statistics)
- Data Collected: Full IP address (without anonymisation or hashing), pages visited, date and time, referring page, browser and device type and approximate geographical location (country). The full browser identification string (user agent) is not stored.
- Purpose: To obtain visit statistics, in order to understand which content is consulted and to improve the website, and to support the security of the website (for example, identifying abusive access). We use WP Statistics, a module installed on our own server: the data is not sent to third parties and the module does not store cookies in your browser.
- Legal Basis: Our legitimate interest in understanding the use of the website and in protecting it (Article 6(1)(f) GDPR), assessed in a documented balancing test, which you may request at geral@altcom.pt. The data is accessible only to the ALTCOM team. You may object to this processing at any time, on grounds relating to your particular situation (Article 21 GDPR; section 6).
- Retention: Up to 24 months, including the IP address.
- Audience Measurement (Google Analytics) — only with your consent
- Data Collected: The identifiers stored in the _ga and _ga_[…] cookies, the pages visited and the events recorded, technical browser and device data and approximate location; the IP address is received by Google, but Google Analytics 4 does not store it.
- Purpose: To obtain audience statistics and measure campaigns.
- Legal Basis: Your consent (Article 6(1)(a) GDPR and Article 5 of Portuguese Law No. 41/2004), requested in the cookie banner before Google Analytics is loaded. You may refuse without any consequence for your access to the website and may withdraw your consent at any time, in the cookie settings (section 8).
- Entity: Google Ireland Limited / Google LLC (USA), which processes this data on our behalf under its data processing terms (https://policies.google.com/privacy).
- Retention: The data is kept in Google Analytics for 14 months; Google Analytics cookies are only placed with your consent and have the duration indicated in section 8.
- Advertising Measurement (Meta Pixel) — only with your consent
- Data Collected: The identifier stored in the _fbp cookie, the pages visited and the events recorded (for example, page view or form submission), the IP address and technical browser and device data. Meta may link this data to your Facebook or Instagram account, if you have one.
- Purpose: To measure the effectiveness of advertising campaigns on Meta (Facebook and Instagram), optimise ads and create audiences for ads.
- Legal Basis: Your consent (Article 6(1)(a) GDPR and Article 5 of Portuguese Law No. 41/2004), requested in the cookie banner before the Pixel is loaded. You may refuse without any consequence for your access to the website and may withdraw your consent at any time, in the cookie settings (section 8).
- Joint controllers: For the collection of data on our website and its transmission to Meta through the Pixel, ALTCOM and Meta Platforms Ireland Limited (4 Grand Canal Square, Grand Canal Harbour, Dublin 2, Ireland) are joint controllers (Article 26 GDPR), under Meta’s controller addendum (https://www.facebook.com/legal/controller_addendum). ALTCOM is responsible for obtaining your consent and for providing you with this information; Meta is responsible for enabling the exercise of your rights in relation to the data it receives. You may exercise your rights with ALTCOM or with Meta. The subsequent processing of that data is carried out by Meta, as an independent controller, under its privacy policy (https://www.facebook.com/privacy/policy), and may include transfers to Meta Platforms, Inc. (USA).
- Retention: The _fbp cookie lasts 90 days; the data received by Meta is kept in accordance with Meta’s policy.
- Server Access Logs
- Data Collected: Full IP address, date and time of the request, page or file requested, referring page (referer) and browser identification (user agent).
- Purpose: To ensure the security and proper functioning of the servers (detection of abuse and attacks, error diagnosis).
- Legal Basis: Our legitimate interest in protecting the websites, the systems and the data of those who use them (Article 6(1)(f) and Recital 49 GDPR).
- Retention: Website access logs are automatically deleted after approximately 7 days and general server logs after a maximum of 90 days, except logs relating to a specific security incident, which are kept until its analysis and any legal proceedings have been concluded.
- Spam Protection on Forms (Google reCAPTCHA v3)
- Data Collected: Google’s reCAPTCHA v3 service collects technical data about the device and the interaction with the page (for example, IP address, browser, movements and time on the page) to assess whether the form is being submitted by a person.
- Purpose: To protect the contact form against automated submissions and abuse.
- Legal Basis: Our legitimate interest in the security of the website and its forms (Article 6(1)(f) GDPR). reCAPTCHA is only loaded on the contact page.
- Entity: Google (Google Ireland Limited / Google LLC, USA), which processes this data under its own privacy policy (https://policies.google.com/privacy).
- Embedded Map (Google Maps)
- Data Collected: If you choose to view the map on the contact page, your browser connects to Google’s servers, which receive at least the IP address and technical browser data, and may set their own cookies.
- Purpose: To show ALTCOM’s location.
- Legal Basis: Your consent (Article 6(1)(a) GDPR and Article 5 of Portuguese Law No. 41/2004): the Google Maps map is only loaded after you give your consent in the cookie banner. Alternatively, you can open the location directly in Google Maps using the link provided.
- Entity: Google (USA) (https://policies.google.com/privacy).
- Language and Approximate Geolocation
- Data Processed: IP address, used only at the time of the request to determine the country of origin.
- Purpose: On the first visit to the Portuguese home page, to display the website in the language best suited to your country (Portuguese, English or Spanish) and to remember your choice of language.
- How it works: The matching between the IP address and the country is carried out on our own server, using a local database; the IP address is neither sent to third parties nor stored. Only the chosen language is stored, in a cookie (section 8). Geolocation data: IP Geolocation by DB-IP (https://db-ip.com), licensed under Creative Commons Attribution 4.0 International (CC BY 4.0).
- Legal Basis: Our legitimate interest in displaying the website in the visitor’s language (Article 6(1)(f) GDPR). You may change the language at any time using the language selector.
Automated decision-making and profiling: ALTCOM uses artificial intelligence systems, through Grok Bot, which act as ALTCOM’s AI agents and carry out some actions in an automated manner, in general terms: support for customer service and responses to requests, preparation of proposals, texts and content, organisation of tasks and records in our CRM, and support for the management and maintenance of the websites and services. These actions are carried out under the human supervision of the ALTCOM team, which defines the operating rules, monitors the results and validates relevant decisions. We do not take decisions based solely on automated processing, including profiling, which produce legal effects concerning you or similarly significantly affect you. In any case, you have the right to obtain human intervention from ALTCOM, to express your point of view and to contest any result produced by these systems (Article 22 GDPR), using the contacts indicated in section 10. If you consent to advertising cookies, advertising platforms (Meta and, if used in the future, Google Ads) may build profiles in order to show you ads; this processing does not produce legal effects concerning you and depends on your consent.
Minors: Our services are intended for businesses and professionals and are not directed at minors. We do not knowingly collect data from children under 13; under Article 16 of Portuguese Law No. 58/2019, consent for information society services may only be given by the data subject from the age of 13. If you become aware that a minor has sent us data, please contact us so that we can delete it.
4. Sharing of Personal Data

9. Changes to the Privacy Policy
We may amend this Privacy Policy to reflect changes in our business or in legislation. The most recent version is always published at altcom.pt/en/privacy-policy, with the date of the last update. 10. Contacts
For any question regarding our Privacy Policy, or to exercise your rights, you may contact the controller, ALTCOM, Unipessoal Lda:
- By e-mail: geral@altcom.pt
- By post: Avenida 25 de Abril, 43A, 3860-352 Estarreja, Portugal
11. Client Area (cliente.altcom.pt)
The Client Area is the portal where ALTCOM’s clients consult the information on their account. ALTCOM is the controller of this data. The Client Area and the CRM are hosted on a virtual server of DMNS – Domínios, S.A., in Portugal.
- Account registration and approval
- Data Collected: First name and surname, e-mail, company, company tax number (NIF), telephone (optional) and password (stored only as a hash, never in clear text). We also store the date, the page and the version of this policy that you declared you had read at registration.
- How it works: After registration, we send an e-mail to confirm the address; the link is valid for 48 hours and can only be used once. The account remains pending until it is approved by the ALTCOM team, which links it to the client company. Accounts whose e-mail is not confirmed are automatically deleted after 7 days.
- Spam protection: Registration uses our own measures, without third-party services: a hidden field, a minimum completion time and a limit on registrations per IP address (the IP address is stored only temporarily to apply that limit).
- Legal Basis: Pre-contractual steps and performance of the service agreement (Article 6(1)(b) GDPR); our legitimate interest in the security of the portal (point (f)).
- Account information (invoices, subscriptions, projects and proposals)
- Data Processed: Data of the client company and its contact persons, invoices, subscriptions, projects and proposals.
- Source and Purpose: This data is not collected in the portal: it is read, on the server, from our customer relationship management (CRM) system and shown only to the users of the company it relates to. The data of contact persons is provided to us by the client company or by the persons themselves. Invoices originate from our invoicing software (Cegid Jasmin) and subscriptions are recorded in the CRM by the ALTCOM team.
- Legal Basis: Performance of the contract (Article 6(1)(b) GDPR) and compliance with legal invoicing and accounting obligations (point (c)).
- Support requests (tickets)
- Data Processed: The content of the request, the attached files and the data of the user who sends it.
- How it works: Requests, replies and closing requests are sent by e-mail to the suporte@altcom.pt mailbox of ALTCOM’s support team. Attachments (up to 5 files, of 10 MB each) are sent with the e-mail and deleted from the Client Area server immediately after sending, remaining only in the support mailbox. Automatic notifications from the Client Area are sent from alertas@altcom.pt.
- Legal Basis: Performance of the contract (Article 6(1)(b) GDPR).
- Retention: Support e-mails and attachments are kept for up to 3 years after the request is closed and then deleted, unless they are needed as evidence in an ongoing contractual matter.
- Onboarding, approvals and files
- Data Processed: Answers to project start-up forms, approvals, change requests and comments on content plans and posts, and the files (images, videos and PDFs) shared in the portal.
- How it works: Files are stored in a private area of the server, with no public access, and are delivered only to logged-in users of the company they belong to; images are stored without metadata (for example, GPS location). Some actions (such as approving a content plan) may create a note in our CRM, with the date, the type of action and the e-mail of the person who performed it; only the ALTCOM team has access to the CRM. When a file is deleted in the portal, it is no longer available to users, but it is kept on the server until the client or ALTCOM requests its permanent removal, or until the end of the provision of services.
- Legal Basis: Performance of the contract (Article 6(1)(b) GDPR).
- Login, sessions and cookies
- To keep you logged in, we use the session cookies listed in section 8. For each active session, the system stores the IP address, the browser and the start and expiry dates; on the “Account” page you can see your active sessions (with the IP address partially hidden) and end them. The data of each session is deleted when the session ends or expires.
- Legal Basis: Performance of the contract and our legitimate interest in the security of the account (Article 6(1)(b) and (f) GDPR).
- Activity log
- For security and as evidence of the actions performed, we record who performed each action in the portal, what, when and the result, with an irreversibly encoded version (hash) of the IP address, never the IP address in clear text. This log is kept for 24 months and then automatically deleted.
- Legal Basis: Our legitimate interest in the security of the portal and in evidence of the approvals given by clients (Article 6(1)(f) GDPR).
- Who processes the data: The ALTCOM team and the processors listed in section 4 (DMNS, for hosting and e-mail delivery). The Client Area does not use payment, statistics, reCAPTCHA or content delivery network (CDN) services, and fonts are served by the server itself.
- Retention:
- Client Area access account: for as long as the contractual relationship lasts; it is deactivated at the end of the contract and deleted within 3 months.
- Invoices and accounting records: 10 years, as required by law (Article 123(4) of the Portuguese Corporate Income Tax Code (Código do IRC), Article 52(1) of the Portuguese VAT Code (Código do IVA) and Article 19 of Decree-Law No. 28/2019).
- Contracts, proposals, approvals, CRM notes and business correspondence: 10 years after the end of the contractual relationship (Article 40 of the Portuguese Commercial Code) and, in the event of a dispute, until it is concluded.
- Server access logs follow what is described in section 3.
12. System Status Page (status.altcom.pt)
- Consultation: The status page shows the availability of ALTCOM’s systems and of the external services we use. Consultation does not require registration and the page does not use third-party services. Server access logs apply (section 3).
- Subscription to e-mail alerts
- Data Collected: E-mail and the date and confirmation of the subscription.
- Purpose: To send you e-mails about incidents and maintenance of ALTCOM’s systems. The e-mail is used only for this purpose.
- Legal Basis: Your consent (Article 6(1)(a) GDPR), given by ticking the box “I agree to receive e-mails about incidents and maintenance from status.altcom.pt”. You may unsubscribe at any time through the link included in each e-mail or by e-mail to suporte@altcom.pt.
- Where the data is kept: On the Client Area server (DMNS – Domínios, S.A., Portugal), from which the alerts are also sent by e-mail.
- Retention: Until you unsubscribe.
13. Help Centre (help.altcom.pt)
The Help Centre provides articles and guides to support clients. Consultation does not require registration. Server access logs (section 3), the necessary cookies (section 8) and, if statistics or third-party tools are used, the cookie banner apply.
- Forms: The data you send in the Help Centre forms (for example, name, e-mail, company and description of the request) is used to respond to your support request, on the basis of the performance of the contract or pre-contractual steps taken at your request (Article 6(1)(b) GDPR), and is kept for the periods indicated for contact and support requests.
- Remote access (AnyDesk): To provide technical support, we may use the AnyDesk software, from AnyDesk Software GmbH (Germany). Remote access is only carried out at the client’s request and after the client accepts it on their own computer, and the client can end it at any time. During the session, the ALTCOM technician can see the screen and work on the client’s computer, and may have access to the data that is visible or open; AnyDesk also processes technical connection data, such as the AnyDesk ID, the IP address and the date and duration of the session. We recommend closing any documents and applications that are not needed for the support before starting the session. Legal basis: performance of the contract or your request (Article 6(1)(b) GDPR).
